Volunteer

Thank you for your interest in volunteering with the PTO!

All parents and guardians are welcome and encouraged to volunteer. No matter your circumstances, we would be happy to help you find a volunteer role that is perfect for you. We invite you to complete our Volunteer Interest Form. Filling out this form enables us to contact you as volunteer opportunities arise throughout the year. Please read below to learn more about year-long, short-term, variable, and one-time positions. 

Each academy typically has at least two academy parents. An academy parent works closely with their own academy teachers to provide volunteer support throughout the year. Academy parents might coordinate chaperones for a field trip, solicit classroom volunteers to help with special projects and provide food for holiday celebrations and/or end of year events. If you are interested in volunteering to be an academy parent, you may indicate so on the Volunteer Sign Up Form.

Our robust athletics program serves close to half our student body and requires a large number of volunteers. From year-long positions to seasonal coaches and team parents, we need your support. If you’d like to join our athletics volunteer team, please contact afterschoolsports@hillviewpto.org.

Webmaster

1 year

Work closely with the website content manager to keep the school website updated. Necessary skills include:

  • Comfort working with a web content management system

  • Basic (or above) knowledge of HTML

Website Content Manager

1 year

Work with newsletter editors and webmaster to keep the Hillview website current and informative.

  • Work with administration to review website content

  • Work in Google Docs to update copy for webmaster to publish on site

  • Manage editorial calendar to ensure the communications team is forward-looking

Newsletter Editor

1 year

Work with the communications chair to create and publish a weekly email newsletter for families.

  • Manage and track all submissions; upload for editorial review

  • Meet with principal weekly to review content and plan for upcoming communications

  • Review and edit all content; place in ParentSquare template

  • Collaborate with the preview group to upload the newsletter; publish on Sunday mornings

Positive Coaching Alliance & Compliance Coordinator

  • Ensure fingerprinting and background checks for coaches

Athletics TeamSnap Coordinator

  • Set up sport registration pages, team accounts, etc.

Athletics Finance Coordinator

Academy Parents

1 year

Each academy typically has at least 2 parents. Work closely with academy teachers to provide volunteer support and coordinate student events throughout the year.

  • Coordinate events and holiday celebrations for your student’s academy

  • Recruit parent volunteers as necessary. Such as, chaperones for a field trip, classroom volunteers to help with special projects and provide food for holiday celebrations and/or end of year events. 

Staff Appreciation Committee

1 year

Coordinate special events for Hillview staff throughout the year. Appreciation activities may include coffee and pastries, luncheons, dinners, Hillview gear, Teacher Appreciation Week, and end-of-year gifts. Budget provided.

  • Set a schedule of events before school begins

  • Coordinate events throughout the year

  • Recruit parent volunteers to help with events as necessary

Service Team Coordinator

1 year

Hillview’s Service Team engages in a variety of service projects throughout the year. Past projects have included preparing sandwiches for Martha’s Kitchen, making cards for children in the hospital, and selling sunflowers to benefit Ukrainian children. Service work may take place on campus or via field trips. Budget provided.

  • Recruit students to join Service Team

  • Work with teacher sponsor to plan, promote, and facilitate service projects throughout the year

  • Communicate with students and parents via HawkTalk, Schoology, and ParentSquare

  • Hold Service Team meetings during lunch twice per month

  • Work with PTO volunteer coordinator to recruit parent volunteers as necessary

M-A / Hillview Liaison

1 year

Each year, M-A holds information events for incoming freshmen and their families. Events typically include Fall Info Night (held at M-A in October), M-A Info Night (held at Hillview in January), and M-A Open House (held at M-A in March). The M-A / Hillview Liaison coordinates communication between the two schools and promotes M-A’s information events.

  • Maintain communication with M-A staff (counseling department and secretary)

  • Use Hillview newsletter to promote info events held at M-A

  • Work with Hillview administration to plan and promote the January Info Night held at Hillview

  • Use Hillview newsletter to share reminders about upcoming M-A deadlines (eg, registration, sports packets, etc)

Spirit Wear Coordinator

1 year

Manage Hillview gear through the SquadLocker store. Because this volunteer role is entirely virtual, it’s a great opportunity for working parents.

  • Manage new and existing store inventory online every couple weeks

  • Run 20% off promos (typically one in August, one in November, and one in Spring) by working with SquadLocker and posting in PTO newsletter

  • Help coordinate 15% fundraising payout on all spirit wear by working with PTO Recording Secretary

  • Consider creating sub stores for athletics, music, drama, etc.

New Family Liaison

1 year

As an ambassador of the school, welcome and orient new-to-MPCSD families.

  • Work with Hillview staff to identify families who register from outside of MPCSD during the summer or mid-year

  • Email new families to introduce yourself, answer common questions, and provide timely information. Share your contact info so families can contact you as questions arise

  • Connect families with appropriate school/district staff as necessary

  • Check in with new families periodically during their first few months in the district

  • Keep a list of common questions/issues and share with school/district staff to help improve the orientation process for new families in the future

College Bound Coordinator

1 year

Help coordinate Hillview’s College Bound program, which supports students and families within a demographic that is underrepresented in the college system. 

  • Collaborate with Hillview counselors and the district’s Family Engagement Liaison

  • Help plan events such as Tech Night, Conference Dinner, and a holiday gift card drive

Safe Routes Coordinator

1 year

Work with district parents who are passionate about safety. Ideally this volunteer uses a bike to get around town and is familiar with local bike routes.

  • Put time, thought, and action into making Hillview as walkable and bikeable as possible

  • Attend quarterly meetings hosted by the City’s Safe Routes to School Coordinator

  • Meet with Hillview administration to discuss safety issues and help adopt bike safety curriculum for 6th graders

  • Introduce yourself to crossing guards and check in regularly regarding safety issues

  • Coordinate Safe Routes to School efforts with back-to-school activities

Hot Lunch Coordinator

1 year

Manage volunteer sign-ups to ensure there are parent volunteers to serve hot lunch everyday. Note: serving lunch is not a requirement of the coordinator position.

  • Work with district hot lunch coordinator to create and manage sign-ups for daily lunch distribution

  • Communicate with staff regarding volunteer cancellations, etc

WEB Day Coordinator

May - August

Hillview’s 6th grade orientation, WEB Day – Where Everyone Belongs, takes place the day before school begins to help 6th graders transition to middle school. WEB Day includes a morning session for half the 6th graders, and an afternoon session for the other half. Each session also includes a meet & greet for parents. A special feature of WEB Day is WEB Leaders, 8th grade volunteers who facilitate tours and games to help 6th graders acclimate to Hillview. Budget provided.

  • Work with Hillview administration/teachers to plan the event, recruit parent volunteers, and coordinate set-up

  • Design and order WEB leader t-shirts

  • Order and assemble swag

  • Provide lunch for 8th graders during WEB training

  • Provide lunch for WEB leaders on WEB Day

OCC Engagement Coordinator

August - October

This role is ideal for someone with availability in the late summer/fall as it runs through the One Community Campaign period.

  • Attend weekly OCC Operations Committee meetings as Hillview representative

  • Work with PTO leadership to develop a school-site strategy for fundraising success

  • Develop, manage, and coordinate on-campus OCC events (ie, coffees, car lines, etc)

  • Recruit volunteers to promote OCC at other school-site events during the campaign period (eg, Fall Picnic)

  • Receive and manage school-site OCC signage such as thermometer, and distribute materials such as letters and marketing materials

  • Communicate with Hillview’s MPAEF Liaison(s) for OCC-related events and needs

Book Fair Coordinator

February - May

Collaborate with Hillview’s librarian and Books Inc to plan the book fair that takes place in mid-May.

  • Work with volunteer coordinator to recruit and organize volunteers to set up the book fair, staff registers during school hours, and take down the book fair

  • Advertise the book fair via newsletters and elementary school teachers

8th Grade Grad Party Coordinator

February - June

Help plan and organize the much-anticipated grad party for 8th grade students. This evening party takes place after the graduation ceremony on the last day of school. Budget provided through donations from 8th grade families.

  • Create the vision and plan the party

  • Form committees and organize volunteers

Sport-Specific Lead Parent

1 season

Oversee organization and operation of one sport. Hillview sports are organized by season: Fall (flag football and girls’ volleyball); Winter (cheer and girls’ and boys’ basketball); Spring (track, tennis, and boys’ volleyball).

  • Assist with coach recruitment

  • Lead tryouts

  • Lead team formation

  • Distribute uniforms and equipment to coaches at the beginning of the season

  • Collect uniforms and equipment at the end of the season

Athletics Coach

1 season

Co-coach an athletics team. Hillview sports are organized by season: Fall (flag football and girls’ volleyball); Winter (cheer and girls’ and boys’ basketball); Spring (track, tennis, and boys’ volleyball).

  • Assist with team formation

  • Run practices and games

  • Promote good sportsmanship, inclusivity, and camaraderie

Math Clinic or Homework Center Tutor

Variable

Volunteer to help students who are stuck on a concept or need some extra support. Both the Math Clinic and Homework Center are open to students on a drop-in basis after school on Monday through Thursday.

Art, Drama, or Music Volunteer

Variable

Help specialist teachers with various projects throughout the year, which may include:

  • Display art at school art shows and around campus

  • Help coordinate music events (eg, performances at local farmer’s markets and Disneyland), sell band t-shirts, create programs, and arrange transportation to and from performances

  • Produce and publicize drama performances, create playbills, assist with costumes and props, help build sets, sell tickets and concessions at the shows, wrangle kids backstage, and coordinate cast parties

Library Volunteer

Variable

Helping in Hillview’s library is a very flexible volunteer opportunity. Volunteers are welcome to work in the library weekly, monthly, or variably, and for any increment of time during the school day (eg, 20-30 minutes or a couple hours). Please let the librarian know when you plan to arrive so she can be ready with tasks. Typical tasks include:

  • Cover books (possibly at home or in the library)

  • Shelve books and help organize/maintain the library collection

  • Catalog new books (prior experience with book cataloging is important; hours are flexible but ideally catalog volunteers will establish regular working hours once or twice per week)

Hot Lunch Volunteer

Variable

Volunteers sign up for specific dates to help staff distribute lunch. This is a flexible, quick, rewarding volunteer job. Typical tasks include:

  • Assist with set up

  • Hand out lunch items to students

  • Assist with clean up

Book Fair Volunteer

Variable

Assist our wonderful librarian, Mrs. Mathenia, with the book fair in mid-May. Volunteers will help with set up, clean up, sales, and more during this multi-day event.

Service Team Volunteer

Variable

Support this student club as they do meaningful service projects throughout the year. The Service Team coordinators can always use extra parental support and supervision.

Staff Appreciation Volunteer

Variable

Help honor Hillview’s teachers and staff. Opportunities may include dropping off a salad for a lunch, delivering a breakfast treat for the coffee cart, or helping arrange flowers during Teacher Appreciation Week. Staff appreciation events take place throughout the year.
